Today: the phone call. If you\u2019ve determined you should make one, what\u2019s the best way to do so? I have five tried-and-true methods that have served me well over the years:<\/span><\/p>\n<p><b>1. Redeem your otherwise-wasted time.<\/b><\/p>\n<p><span style=\"font-weight: 400;\">\u201cI just don\u2019t have any more margin to add something to my calendar!\u201d Yes you do. It\u2019s your daily commute, and you can trade off the time you\u2019d listen to podcasts by investing in your guests. <\/span><span style=\"font-weight: 400;\">The Monday and Tuesday afternoon commutes are usually my go-to times for guest follow up.<\/span><span style=\"font-weight: 400;\"> Typically, I\u2019m catching guests at times they\u2019re also in the car, so it\u2019s a win-win for both of us.<\/span><\/p>\n<p><b>2. Use the etiquette your mama gave you.<\/b><\/p>\n<p><span style=\"font-weight: 400;\">Identify who you are and what you do early in the phone call. \u201cMy name is ___ and I\u2019m one of the staff members at ___ Church\u201d will build an immediate bridge with someone who just visited your church. (It also sets you apart from telemarketers.)<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Ask if this is a convenient time to talk. Sometimes the background noise or stress in their voice will answer that question. If it\u2019s not a good time, ask when would be, and then make sure you call back as promised.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Focus the conversation on them and not you. \u2018Nuff said.<\/span><\/p>\n<p><b>3. Keep it short.<\/b><\/p>\n<p><span style=\"font-weight: 400;\">My goal is two minutes for the phone call, unless the guest is carrying the conversation and wants to talk longer<\/span><span style=\"font-weight: 400;\">. I have four things I want to cover:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">A personal thanks for their visit. That \u201cthank you\u201d goes a long way.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">\u201cHow was your experience?\u201d This question opens lots of doors to the good and bad of their visit.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">A chance for them to ask questions. 98% of the time, our guests don\u2019t have any, but this gives them the opportunity.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">An invitation to a next step. For us, this is our newcomers class called Starting Point. For you, it may simply be a return visit next weekend.<\/span><\/li>\n<\/ul>\n<p><b>4. Voicemail is your friend.<\/b><\/p>\n<p><span style=\"font-weight: 400;\">In the <\/span><a href=\"https:\/\/churchanswers.com\/blog\/7-steps-to-structure-your-guest-follow-up-process\/\"><span style=\"font-weight: 400;\">last post<\/span><\/a><span style=\"font-weight: 400;\"> I shared that on the first day of follow up calls, I will typically have 80% of my calls go to voicemail. However, if I leave a message and promise to follow up the next day at the same time, I will then get an 80% answer rate. So leave that voicemail\u2026and follow up.<\/span><\/p>\n<p><b>5. Make notes.<\/b><\/p>\n<p><span style=\"font-weight: 400;\">I\u2019ll toggle back and forth between phone calls and my voice memo app in order to make sure I\u2019m keeping good information. \u201cBob was invited by his co-worker Jerry. He\u2019s lived here for a month and is actively looking for a church. His wife and kids are moving here in a few weeks.\u201d That info will go into that person\u2019s profile on our database, so that any other pastor can get up to speed when necessary.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">I don\u2019t like to admit this, but as one who doesn\u2019t <\/span><i><span style=\"font-weight: 400;\">love<\/span><\/i><span style=\"font-weight: 400;\"> talking on the phone, I\u2019ve often said that the five minutes before making follow-up calls are the five most dreaded minutes of my week.
